A telematics decision lasts for years. Start it well.

Choosing a telematics system is a decision you will live with for a long time, and one with real potential to lift your efficiency and competitiveness. The difference between a smooth rollout and a stalled project is rarely the technology. It is the preparation.

This checklist distils what works into six clear steps. Use it to scope your project, bring the right people on board, and evaluate providers with confidence, before you sign anything.

Six steps to a successful rollout.

An overview of the checklist. The full version, with every step and the detailed points to work through, is yours to download below.

  1. Define your goals

Pin down the outcomes you want, such as cost reduction, time savings, safety, vehicle availability, and sustainability, then set the KPIs to measure them.

  2. Involve your stakeholders

Bring drivers, dispatchers, management, the works council, and your data-protection officer in early. Buy-in starts before the rollout.

  3. Select the system and evaluate vendors

Check functionality, future-proof hardware (4G/LTE), manufacturer data import (e.g. ISO 15143-3 for machines, with no install needed), a transparent price model, and ERP/CRM compatibility. Run a pilot.

  4. Technical implementation

Coordinate installation with your IT, workshop, or fitting partner, document every install, and plan hardware, software integration, and a roles concept.

  5. Drive adoption

Less paperwork, less admin, happier staff, if people use it. Show the benefits, set incentives, schedule training, and check funding programmes for your digitalisation project.

  6. Measure and optimise

Review against your initial goals: fuel use, utilisation, empty runs, accident rate, and operating costs. Refine continuously.
